The Consulate is seeking a well-qualified individual to serve as Executive Assistant to the Consul General.

This individual will perform a variety of administrative tasks, including but not limited to correspondence and document drafting, scheduling, and event planning. Excellent command of written and spoken English, office software skills, flexibility, and the ability to collaborate in response to a variety of complex assignments are required.

This individual will also be expected to edit English-language media, including letters, social media posts, speeches, and website content. Japanese language ability and experience with Japanese culture preferred but not required.

This position is expected to start in April 3, 2023.

3 Working Conditions

Working hours:

8:45 to 17:30 (with a one-hour break), Monday to Friday (except holidays). This is an in-person role. Occasional overtime, including evenings and weekends, may be requested.

Salary range :

Full Time
$ 19 - $ 26 an hour (Depends on Experience)

4 Expected Start Date

Date: April 3, 2023
- Two-year contract until Mar. 31, 2025.
- The first three months will be a probationary period for employment.
- Contract renewal is based on an agreement between both parties.
 

5 Qualifications

- Excellent command of the English language, with editing experience
- Able to work with multiple/differing level management
- Strong communication skills, both written and verbal
- Fantastic planning skills with the ability to multi-task and manage competing demands
- Able to focus in a fast-paced and dynamic environment
- Able to work with and manage sensitive information
- High-level proficiency with office software (including Microsoft Office and Teams)
- U.S. citizenship or permanent residency in the U.S. (The Consulate will not provide U.S. visa sponsorship.) - Must have a valid government-issued photo ID
- Able to provide a security clearance certificate (i.e. criminal record check)
- Able to take and pass a drug test
 

6 Core Responsibilities

- Scheduling and calendar management for the Consul General, and support for other senior officials
- English-language document drafting and editing
- Relationship management
- Guest liaison and meeting facilitation
- Event management and support
- Other administrative tasks as deemed necessary by the office
